The Office Planning & Events Executive will be responsible for facilitating and coordinating activities driven by
the Planning team and supporting day-to-day operations of the GCFO office.
Make an impact by:
Administrative Support
• Procurement - raising all required paperwork through various procurement systems (SAP, iBuy, AcuBuy) for staff functions (ie. Venues, event organisers, vendors etc)
• Monthly updating and tracking of office & events expenses
• Management of department assets and inventory
• Annual CAPEX and OPEX budget exercise – oversee inputs into BPC system
• Adhere to internal policies and procedures with regards to reporting activities and spend, compliance regulations, approval processes and ensuring appropriate documentation is in place
• Support the Business Planning manager on workplace planning (lockers, desk allocation etc)
Office Wellness
• Lead in office welfare initiatives – including (a) creating / curating various care / appreciation packs and welcome packs for newcomers and (b) shortlisting and purchasing wellness snack to energise Team GCFO
• Work with GCFO Change Leaders to drive department-wide staff initiatives
Events support
• Facilitate logistics support for staff engagement initiatives / corporate events including sourcing of venues / vendors and on-site administrative support to the team during the event. (eg. townhalls, annual staff functions etc)
• Support the execution of all internal and external events under the GCFO office
• Assist with the end-to-end process of event planning, ranging from event briefs, research, approvals, venue set-up, event design, onsite support, production management (audio-visual, virtual event management), budget management and post-event analysis
• Effectively manage external vendors, venues and internal stakeholders on all event-related matters
• Manage corporate calendar of events
Skills for success:
• Polytechnic Diploma in any field
• Minimum 1-2 years’ of relevant experience
• Excellent communication skills, ability to articulate well and present to all levels of management
• Possess strong interpersonal skills
• Experience in collaborating effectively across internal stakeholders, different regions and with vendors
• Ability to multi-task in a time-pressured environment
• Proficient with Microsoft software e.g. Excel, Word and PowerPoint
• Willing to learn and have positive work attitude
