Group Digital Office - Admin Executive

Objective:

 

As an Admin Executive, your primary duties include supporting the Group Digital Office relating to Administration and Processes as well as the Senior Manager in coordinating, planning and execution of events, workshops and training courses.

 

Responsiblities:

 

General Office Administration

  • Purchase of office admin/office equipment and maintenance and office environment man
  • Arranging meetings, workshops, refreshments, sending invite, booking conference rooms.
  • Support teams with admin support for special projects when required
  • To support onboarding & offboarding of staff
  • Manage assets movement and updated status (Purchase of assets, tracking and condemnation of assets)

 

Finance

  • To support procurement activities including sourcing for suppliers, requesting for quotations and raising payments.  To track and report on project budgets, including raising PO/SO/GRS/SE, churning SAP reports for OPEX and CAPEX, payment tracking, etc.
  • To assist the MMs (Heads/Directors) in OE budgeting and input.
  • To track/monitor OE to ensure spending is prudent and within budget.
  • To record and track department’s assets.

 

Workshops and Events

  • To provide project support, including planning of logistics, budgets, project status reports, data collection, data analysis and interpretation.
  • Assist in logistics to ensure all important events e.g. workshops, team events are well planned and executed.
  • Track  P&L and to  co-ordinate with Manager on cost discrepency and status.
  • To assist in preparation of reports, process map, news articles, slides and video presentations.

 

Requirements:

  • Min. Diploma in Business Administration, Communications or Computer Studies with relevant experience in administration or operations management.
  • Competent in MS Word, Excel & PowerPoint, Photoshop; candidates with video editing, production and/or IT computing/technical skills will have added advantage.
  • Possesses the willingness to learn; have an agile mindset.
  • Must be meticulous, responsible and possess ability to work under pressure, meeting project timelines.
  • Good communication and interpersonal skills, able to communicate effectively with all levels of hierarchy.
  • Must be able to work independently as well as in a team with all levels of staff.
