The Board Coordinator will support the Optus Group Company Secretary and Deputy General Counsel and Head of Governance in delivering company secretariat services across the Optus Group of companies, operating within a complex, fast‑moving and highly regulated environment. Sitting within the Optus Compliance, Legal and Privacy business unit, the role works closely with an exciting and dynamic Co Sec team.
Success in this role requires strong organisational capability, exceptional attention to detail, and effective communication and stakeholder management skills. Candidates will need prior experience in a company secretariat team in a large corporate, alongside a proactive approach, the ability to independently manage priorities and a strong sense of ownership.
What you'll be doing:
- Plan, coordinate and support all Board and Committee meetings, including scheduling, preparing agendas and board packs, and ensuring meetings run smoothly.
- manage follow‑up actions, ensuring matters arising are tracked and completed.
- Maintain corporate records, registers, filings and company secretarial systems, including managing software access, distributing papers and ensuring data integrity.
- Enhance Company Secretariat processes and tools, including assisting in developing templates, improving workflows and identifying and addressing operational gaps.
- Support Board and Committee governance, including planning training and development for members and facilitating effective engagement with Singtel’s Secretariat team.
- Manage Secretariat communications and respond to emerging issues, handling correspondence with agility and applying Optus’ administrative processes and authorities.

- 8+ years’ experience working in a Company Secretariat role, in a large corporate environment.
- Exceptional written and verbal communication, alongside strong stakeholder management and influencing capability.
- Outstanding organisational skills, including the ability to prioritise, coordinate multiple tasks and work independently.
- High attention to detail and strong work ethic, with a commitment to accuracy, productivity and owning tasks through to completion.
- Proactive, self‑motivated and adaptable, with the ability to manage competing priorities, handle conflict and operate effectively both autonomously and in a team.
- Strong interpersonal skills, demonstrating approachability, trust‑building and a sound understanding of Company Secretariat responsibilities.
