In this Executive Assistant role, you will be responsible for providing high-level administrative support to the Vice President, Digital Channels and Customer Success Strategy (DC&CSS). Your primary focus will be managing the complex schedule of the Vice President and ensuring the smooth operation of team activities and deliverables. This is a unique opportunity to work independently and as part of a collaborative team in a fast-paced environment.

 

Your day in the life as an Executive Assistant at Optus:

  • Senior leadership team and divisional operating rhythm, including meetings, agendas and actions
  • Diary management: booking meeting rooms and managing schedules
  • Email management: efficiently managing emails within agreed parameters
  • Meeting preparation: agenda development, presentation creation, catering, and materials coordination
  • Action item monitoring: tracking action items from meetings, ensuring follow-ups and deadlines are met
  • Travel Management: booking flights, accommodation, and conference-related activities
  • Expense Management: coordinating expense claims and ensuring compliance with policies

Key Responsibilities:

  • Supporting SLT: scheduling appointments, liaising with other Executive Assistants, preparing documentation for meetings
  • Email: managing and gathering information for meetings, workshops, and events
  • Travel and Conferences: arranging travel and accommodation, ensuring compliance with policies.
  • Expenses: coordinating expense claims and ensuring accuracy
  • General: building relationships, producing high-quality documents and presentations, attending meetings, assisting in event planning, and maintaining compliance

  • Highly developed interpersonal skills, both written and oral communication
  • Discretion and confidentiality
  • Ability to multitask and meet tight deadlines
  • Strong technical computer literacy
  • Strong problem-solving skills
