About the Role

As an Executive Assistant, you will be responsible for providing invaluable support to our Senior Leaders in the Digital Business. Understanding their priorities, challenges and objectives will be the key to your success in effectively managing diaries and available time.

 

Responsibilities include

  • Scheduling internal and external appointments together with domestic and international meetings
  • Requesting and/or preparing documentation and briefs for meetings
  • Liaising with Executive Assistants, both internally and externally in scheduling and coordinating appointments across Optus, SingTel, Customers, Partners and Vendors
  • Email inbox management. Prompting on actions awaiting a response, following up on responses, requests, meeting requests etc
  • Producing high quality formatted and presented documentation and presentation slides with a quick turnaround, utilising Word, Excel and PowerPoint
  • Building relationships across the broader teams in a professional and diplomatic manner
  • Ensuring the appropriate personnel is engaged in rectifying the problems issues raised by customers as soon as notified
  • Assisting in the planning, preparation and execution of both internal and external events

  

About You

We are looking for the following skills attributes and experience

  • Highly organised and able to multitask in order to meet tight deadlines
  • Strong problem solving skills 
  • Able to work under pressure within tight timeframes   
  • Flexible and responsive to change in direction and priorities as required
  • Strong team player and proved ability to work collaboratively
  • Flexibility which will enable you to deal with critical issues outside of normal business hours
  • Experience in digital collaboration and planning tools such as MS Teams
  • Proven expertise in structured planning, not just with diaries but also with working agendas across diverse teams with IT and Business backgrounds
  • Instills Optus value like Take Ownership & Follow Up behaviour, Listen to Learn as well as displaying assertion when requests coming in are not aligned with priorities
  • Prefer experience from other industries beyond Telco
  • Adaptable to change
