The Operations Executive is a key member of People Operations, offering operational and administrative shared services throughout the Employee Life Cycle Process for the Singtel Group of Companies. The appointed individual will perform the services:
Key Responsibilities:
- Achieving Onboarding Excellence: Enhance the onboarding process by generating employee profiles in SuccessFactors, ensuring a smooth experience for new hires.
- Lifecycle Management: Engage in in different stages of the employee lifecycle, such as issuing lifecycle letters, managing work pass applications, and assisting with renewal and cancellation procedures.
- Personal File Management: Manage employees’ personal files, including creation, maintenance, archiving, and disposal, while ensuring compliance with data privacy regulations.
- Process Enhancement: Collaborate with different departments to streamline and automate processes, with the goal of improving the overall employee experience.
- Innovation and Improvement: Contribute to the continuous automation and enhancement of existing HR processes. Work closely with IT and PowerApps developers to troubleshoot incidents and manage exception cases.
- Data Insights: Support in preparing reports and dashboards to offer valuable insights into HR operations, supporting informed decision-making.
- Communications Enhancement: Assist in creating infographics for internal communications, promoting engagement and clarity among employees.
- Cross-Functional Collaboration: Collaborate with People Partners and other departments, addressing queries and offering assistance as needed.
- User Acceptance Testing (UAT): Participate in UAT sessions when there are application and process changes, share perspective and help facilitate a smooth transitions.
The ideal candidate should have/be:
- A Diploma/Degree and IHRP certified.
- At least 8 years of HR working experience in a large organization.
- Familiarity with employee lifecycle management and knowledge of HR functions, policies, and procedures.
- Proficiency in MS Office Application (Words, Excel and Powerpoint), HRIS Software, and any graphic design tool such as Canva.
- Attention to detail and organisational skills.
- Good spoken and written communication skills.
- Familiarity with employment laws and regulations.
