The Portfolio Performance & Planning Manager will play a key role in managing and governing our business portfolio, focusing on portfolio performance, and supporting the annual and quarterly planning processes. This high-visibility position involves collaborating with senior leaders and cross-functional teams to ensure successful portfolio management and delivery of strategic outcomes. Additionally, you will work closely with delivery teams and Agile Tribe leads across the Consumer business unit and Optus enterprise to develop and execute program strategies aligned with our goals, ensuring our portfolio is prioritised, optimised, and aligned with business needs.

  • Support the quarterly and annual planning process by collecting critical data, business cases, assumptions, and strategic inputs to facilitate prioritisation and alignment with business objectives.
  • Facilitate the quarterly roadmap review process, ensuring initiatives are aligned with strategy, capacity, and capability for successful delivery. Oversee the collation and recommendations for alignment to achieve the Annual Operating Plan (AOP).
  • Assist in setting targets for key strategic and operational organisational health indicators (OKRs) and KPIs across the portfolio, ensuring alignment with broader business goals.
  • Oversee portfolio performance by tracking OKRs and KPIs on a monthly and quarterly basis. Celebrate achievements, identify areas for improvement, raise issues, and flag risks for timely resolution.
  • Assess and prioritise projects based on business value, feasibility, resource availability, and risk, supporting data-driven decisions for optimal portfolio management.
  • Collaborate with Agile Tribe leads, Delivery Managers, and Finance teams to track performance ROI and ensure alignment with success metrics as outlined in the AOP and Quarterly Business Reviews (QBRs).
  • Own the development and maintenance of performance reports and dashboards, focusing on actionable insights and identifying opportunities for continuous improvement in systems and project delivery.
  • Maintain clear governance structures across the portfolio, ensuring alignment with enterprise PMO frameworks and driving best practices. Continuously assess processes to improve efficiency, effectiveness, and overall project delivery outcomes.
  • Own benefit tracking through financial and operational performance analysis, monitoring costs, benefits, and investment value for initiatives to ensure positive business impact.
  • Engage business stakeholders to ensure clear value articulation, delivery accountability, and business benefit realization. Provide ongoing support to stakeholders to align efforts with business objectives.
  • Collaborate with cross-functional teams, with in our Agile Tribes and delivery and Transformation Managers, to identify and pursue revenue-generating or cost-saving opportunities within the portfolio.
  • Support change management initiatives aimed at improving portfolio performance. Ensure stakeholders are informed and actively engaged throughout the change process to facilitate successful adoption and minimize resistance.
  • Facilitate training sessions as required to enhance the team’s skills and knowledge, providing coaching and guidance to Project Managers and team leads on portfolio management tools and methodologies.

 

It starts with you!

  • Degree or equivalent qualification, complemented by certifications in Agile, Six Sigma Black Belt along with proven relevant industry experience.
  • Experience working within a PMO supporting project governance processes, resourcing, financial and planning activities across all delivery methodologies.
  • Extensive experience with digital tools such as Jira, Confluence, and Jira Align.
  • High level of financial literacy and ability to interrogate benefits and budgets 
  • Excellent communication and stakeholder management skills at all levels
  • Demonstrated experience in managing change across complex portfolios, ensuring smooth transitions and stakeholder engagement.
  • Clear communicator and willingness to coach, mentor, and influence others, fostering positive relationships and driving collaboration.
