Sales Support Executive

You will provide presales and post-sales support to the Client Service Units (CSU) for tender or proposal submission requests within specific tender closing timeline and to assist with order processing/sales booking for confidential classified contracts.





  • Liaise with Account Managers on the Tender/RFP/RFQ submission request – bid/no bid.
  • Work on tender specifications through notification request sent in by the Account Managers (for both soft-copy and hard-copy tender documents).
  • Provide support to Account Managers in distributing hard-copy tender documents based on control list and consolidating tender clarification list etc.
  • Assist in preparing NDA (Non-Disclosure Agreement) for the authorized signatory and coordinate with GSS General Admin team for the collection of tender documents via courier services where necessary.
  • To coordinate/work with different business support unit to obtain necessary info required for tender submission.
  • Liaise with Account Manager for the tender proposal outline if this is not stated in the tender document.
  • Prepare tender templates in accordance to tender proposal outline.
  • Remind the Account Manager for the arrangement of a refundable deposit by cross-cheque to be accompanied in the tender submission before the tender closing date (where applicable).
  • Provide SLA to manage the returning of tender proposals for the required formatting.
  • Prepare the necessary administrative works for the tender proposal submission.
  • Track and follow-up with Account Manager/proposal team for the returning of proposal write-up.
  • Assist in formatting/compiling the tender proposal for submission.
  • Print the formatted proposal for the tender box submission
  • Assist in cutting CD for the soft-copy Tender / RFP / RFQ proposal submission
  • File the final tender proposal submission (both hard-copy and soft-copy) according to the specified requirement as outlined to the presales support team.
  • Provide any required administrative support to ensure that the tender proposals are submitted within the tender timeline.



  • Monitor and track the sales booking from award to project creation.
  • Ensure timely and quality service provided to CSU teams for order processing request, sales and project registration.
  • Work closely with Line of Business (LOBs) to expedite on the project registration and project budget baseline.
  • Assist Project Managers with LOB cost sheet preparation and processing in Cost Sheet Management System (CSMS).
  • Provide guidance to LOB Sales Specialist with regards to LOB cost sheet preparation and processing in CSMS.
  • Ensure Risk $ catered during bidding time is correctly captured during cost sheet processing.
  • Ensure order processing request is supported with actual LOA/PO from customer.
  • Validate the order processing request from sales teams to ensure sales booked is based on firm award provided by customer.
  • Assist CSU sales teams with Banker’s Guarantee preparation.
  • Timely submission of full legal documents (tender documents, tender proposals, customers’ contracts, LOA/PO) to Legal Dept to enable timely sales incentive pay-out for the CSU sales teams.


The ideal candidate should possess:

  • Bachelor’s degree in related field / relevant recognized discipline with at least 2 years relevant experience in ICT equivalent industry or Diploma qualification with at least 5 years relevant working experience.
  • Working experience in ICT industry in sales business operations support is an added advantage.
  • Vibrant and energetic attitude, willingness to perform and get things done.
  • Strong interpersonal skills, ability to convey and relate ideas to others.
  • Strong organisation skills and ability to multi-task with competing priorities
  • Highly proficient to expert competency in Microsoft Office tools (e.g. Excel, PPT, Word)
