The Senior Facility and Admin Executive is responsible for managing daily facility operations and administrative functions to ensure a safe, efficient, and well-maintained workplace. This role supports office operations through effective vendor coordination, procurement activities, and general administrative support, ensuring smooth day-to-day business operations and a positive workplace experience for employees.
Make an Impact by
- Oversee day-to-day facility operations including office spaces, pantry, meeting rooms, and common areas
- Ensure maintenance, cleanliness, and workplace safety standards are consistently met
- Coordinate with building management and vendors for maintenance, repairs, and servicing (e.g., HVAC, electrical, cleaning, security)
- Monitor and resolve facility-related issues in a timely manner
- Support office renovation, relocation, and space planning initiatives
- Manage access control systems, including access cards, CCTV, and security processes
- Handle general administrative duties such as office supplies, inventory management, and documentation
- Support procurement processes including sourcing quotations, raising purchase orders, and tracking deliveries
- Liaise with internal stakeholders and external vendors on administrative matters
- Maintain proper documentation for contracts, invoices, and reports
- Assist in invoice processing and ensure timely submission for payment
- Support vendor sourcing, evaluation, and performance monitoring against service level agreements
- Assist in contract renewals and vendor coordination activities
- Ensure compliance with company policies and local regulations
- Support workplace safety initiatives and emergency preparedness activities (e.g., fire drills)
- Assist in company events, meetings, and logistics coordination
- Support onboarding arrangements including workstation setup and access provisioning
- Perform ad-hoc administrative and facility-related duties as required
Skills for Success
- Diploma or Degree in Business Administration, Facilities Management, or a related discipline
- 1–3 years of experience in facilities management or administrative roles
- Strong organizational and multitasking skills with high attention to detail
- Good communication and coordination skills with the ability to work with internal and external stakeholders
- Ability to work independently and manage multiple priorities effectively
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong problem-solving skills and proactive mindset
Good to Have
- Experience in vendor management and procurement processes
- Basic knowledge of building systems and maintenance
- Familiarity with workplace safety standards and compliance requirements
